11. Additional Checklist to ensure smooth running/no complaints.
Have you thought about?
- Invitations to councillors, Heads of Service, funders in plenty of time
- Transport for writers if required
- Layout of chairs in auditorium and breakout rooms
- Backdrop to stage or some decoration
- Tables/chairs for bookstall
- Tables/chairs/display screens for additional "fair" activities
- Tables/chairs for author signing
- Signs to all rooms, toilets and refreshments
- Water for speakers in each room
- Staff /helpers to chaperone all authors
- Badges to identify staff/helpers
- More staff to give directions/troubleshoot
- Microphones in main auditorium
- Technical support, induction loop, internet access if required
- Additional requirements in workshops- flipchart, pens, paper
- Access to photocopier- or warn authors if not available
- Photographer for some or part of event
- Food layout- for speedy queuing
- Vegetarian food identifiable
- Plain crisps the safest option if included
- Access to water for everyone throughout the day
- Biscuits with drinks.
- De-caff. Tea/coffee and soft drinks
- Prizes for quiz, raffle
- Boxes for collecting quizzes and evaluations
- Staff to collect/mark quiz before the end of the day
- List of who needs thanking publicly to give MC
